Fact Sheet: Workspaces Explained

A full breakdown of Workspaces, covering what they are, how to set them up, how to organise your pipeline within them, and what your plan includes.

Updated this week

What are Workspaces?

Workspaces are shared containers that let your team organise sites, drawings, annotations, and letter batches around the way you actually work. I

nstead of everything sitting in one undifferentiated portfolio, you can group your work into focused Workspaces by region, development type, client, or business unit.

Every Workspace is shared across your whole team. There are no private Workspaces: when a colleague creates or updates something in a Workspace, everyone with access to that Workspace can see it.

Workspaces replace the need to use labels and pipeline stages as workarounds for separating different areas of work, and they lay the foundation for more granular permissions and collaboration features in the future.

Navigating with Workspaces

The Homepage

Home is your global control centre. It gives you a cross-Workspace view of your alerts, purchased documents, letters, and anything shared with you. Use Home when you want a portfolio-level overview across all your Workspaces.

Home is accessible via the Home button in the top left of the interface.

The Workspace selector

The Workspace selector sits at the top left of the interface, next to the Home button. Use it to switch between Workspaces or create a new one. When a Workspace is selected, the Map and Sites views update to show only the work within that Workspace.

When no Workspace is selected, the Map and Sites views are hidden. Navigate to Home to access your cross-Workspace overview.

Settings and billing

Settings and billing management (previously in the Dashboard) are now accessible via the avatar dropdown menu in the top right corner of the screen.

How to create a Workspace

  • Click the Workspace selector at the top left of the screen

  • Select Create new Workspace

  • Give your Workspace a name (for example: North West Region, Client A, or Residential Pipeline 2026)

  • Your new Workspace is immediately available for the whole team

How to move sites into a Workspace

There are three ways to reorganise your pipeline into Workspaces depending on how much you want to move at once.

One site at a time

From the site menu on the kanban card in Sites view, or from the quick actions menu in the right-hand panel on the map, select the option to move the site to a different Workspace.

An entire stage at a time

From the stage menu in the Sites kanban view, you have two options:

  • Move all sites: moves every site in that stage to a new Workspace and empties the original stage

  • Move stage: moves the stage itself, along with all its sites, to a different Workspace

In bulk

Switch to the Sites list view and use the bulk action menu to select multiple sites across multiple stages and move them to a new Workspace in one action.
