What is Site Sharing?

Site Sharing lets you share a saved site with anyone, inside or outside your organisation, while staying in control of what they can see and do. Recipients get access to one live source of truth rather than a static PDF or email attachment, and they do not need an existing LandInsight licence to view it.

If the person you invite is not already a LandInsight user, they will receive a link to sign up for a free licence so they can access the shared site.


Who you can share sites with

Site Sharing is designed to bring the right people into a site at the right time. Common recipients include:

  • Architects

  • Planning consultants

  • Surveyors and ecologists

  • Joint-venture partners

  • Internal stakeholders outside your LandInsight team

  • Legal or financial advisors

  • Anyone you want to contribute to a site decision


How to share a site

From the map view:

  • Click on a saved site on the map to open The Assessor

  • Click Share (the button changes from Save to Share once a site is saved)

  • Enter the recipient's email address

  • Assign a role (Contributor or Collaborator)

  • Click Share to confirm

The recipient will receive an email notification with a link to the site and instructions on how to access it.

πŸ’‘LandTech Tip: If a site is not yet saved, click it on the map to open the Assessor, then hit Save first. The Share button will appear once the site is in your pipeline.


Roles and permissions

When sharing a site, you assign each recipient a role that determines what they can see and do.

Contributor

Contributors can upload and view their own files and comments only. They cannot see files or comments added by other users.

Best for: External consultants contributing specific documents or feedback, such as surveyors, planning consultants, or architects who need to add their own materials without seeing everything else on the site.

Collaborator

Collaborators can upload and view all files, comments, and activity on the site, including content added by other users.

Best for: Trusted partners or internal stakeholders who need full visibility across all shared content, such as JV partners, project leads, or senior decision-makers.

πŸ’‘ LandTech Tip: If you are unsure which role to assign, start external stakeholders as Contributors. You can always upgrade permissions later, but keeping visibility controlled from the outset helps maintain clarity across the project.


Managing shared access

You can review and manage who has access to a shared site at any time:

  • Open the saved site on the map

  • Click Share to view the current list of people with access

  • Change a recipient's role or remove their access as needed


Plan availability

Site Sharing is available on all LandInsight plans. The number of sites you can share and the number of recipients may vary by plan. Contact your account manager for details.
