From within the site pipeline tool, LandInsight users are able to automatically create up to 50 unique letters (I.e. to different recipients) in a single process.
NOTE: The Land Registry title will need to be purchased for any site that you wish to make an approach for. This is so that the applicable contact information can be accessed and pulled through to your letter.
Step 1.
From within the main LandInsight view, select the “Saved Sites” option at the top of the screen.
Step 2.
Move any sites that you wish to send a letter to into a single stage. You may wish to create your own custom stage for this (E.g. Letter ready to be sent) OR filter the pipeline to pull out relevant sites within that stage.
Step 2.5.
To create your own custom stage, select the “Add New Stage” option from the far right of the screen, name your stage, and then drag it into your desired position.
Step 3.
With all the sites you want to send letters to moved into a single stage, select the ellipsis button at the top of that stage and then select “Create Letters”.
Step 4.
You will then be presented with a list of all recipients and all of the available contact information. Any missing data will be highlighted in red. You will need to populate all missing fields before the process can continue.
When completed, select “Next, Create Letter”.
NOTE: Some sites will be ineligible for letter sending. This is because there are multiple addresses associated to a single site. These sites will be highlighted to you as part of the letter sending process.
Step 5.
On the “Create Letter” screen you can create the template for your letters. Use the fields available to add your logo, content, signature, and any other information you wish to include using the fields on the left hand side of the screen.
NOTE: Any box on the letter surrounded by a dashed line is a dynamic field. This means that this element will be unique for each letter sent and will be automatically populated for you. E.g. Unique address information. These dynamic fields will also include a custom satellite image for each site/letter, which the tool will add automatically.
Step 6.
Select “Next: Preview Letter” to progress to the next stage, where you will be able to see previews of each letter by using the arrow buttons towards the top of the interface.
Step 7.
Select “Confirm and Send”. A summary of your send will appear detailing the cost to send using our SOC2 accredited mail partner.
